In the basic version, the software starts without a login by a user. In this mode, every user may use all functions of the software. This can be restricted by users and roles. Users are a paid additional function. You activate the user module via the Activation. These can be reached via the menu bar. (File-> Activation-> Code input). After entering the code, the module is unlocked but not activated. To activate, use User management. There you also create users and find other options.

Access

If the module has been activated, the software can only be opened by one user. The area of user administration can only be accessed with a user who has administrator rights. Theoretically, it is possible to delete all users or to deny all users the administrator rights. Please note: If the mode was activated, access to the current database is only possible with users. When reinstalling the software, users are disabled again, but the database is also new. The passwords and activation options are encrypted in the database. While attempting to manipulate this information, the software will terminate itself after launch. If you no longer have a valid user or if you no longer know your password, you need to contact the manufacturer of the software to get a special script that will give you access. When installing the software, a user with administrator rights is stored. This has the username: admin and the password: 12345. You should change the password immediately. Recommendation: Start by creating several users with administrator rights.

Start

When the software is started, an input window appears after activation of the module. Here you first enter a valid user. If this user was found in the database, the software now expects a password entry. If the correct password has been entered for this user, the software starts. The software informs you in case of wrong passwords or wrong users.

User operations

By activating the module you limit the access of the software to registered users. Each record that a user creates or changes is stamped. It contains the date and time as well as the user ID of the user who made these entries. Upon termination of the software, the software will record to that user the date and time of the last time the software was used.
As a user, you have two new functions in the menu bar:

  • Switch user: Here the current user is logged out and the login mask for a new login appears.
  • Change password: Here the current user has the possibility to change his password. First you have to enter your old password. If this is correct, you will be asked to create a new password. This new password must be reentered for security.

In the console of the software, you have the option to have a password checked for security, or to have a random password created.

User management

If the launch was done with a user who has administrator rights, you have new options. If the mode has been activated, the areas of the user management, Server and Mail system can only be accessed by a user who has administrator rights.

Role

In User management, the role system can be activated for the users. In this case, different roles can be assigned to each user. Roles can be added or removed at any time to a user. The user must re-login to the software for the changes to take effect. The scope of the rolls is continuously extended by the manufacturer. A user without a role can only read data and take no other action. The following roles are currently available:

  • Anlegen|Create|Crear

For role: user is allowed to create new data records

  • Schreiben|Write|Escribir

User may change existing records

  • Loeschen|Clear|Borrar

User is allowed to delete records

  • Importieren|Import|Importacion

User may import data from files into the software.

  • Exportieren|Export|Exportacion

User is allowed to export data from the report.

  • Vorlagen|Template|Plantillas

User is allowed to change both the default DropDown fields and the record templates.

  • Mail

User is allowed to send mails from the internal system.

  • Auswerten|Evaluate|Evaluar

User is allowed to start evaluations and the report

  • Reservieren|Reservations|Reserva

User may book vehicles via car sharing.

  • Fuhrparkmeister|Fleet Master|Maestro de flota

The role of the fleet manager is an administrator for car sharing. His role allows him to work on foreign reservations.
Note: An administrator does not need roles. The status of the administrator overrides all role conditions. The number and type of roles is constantly expanding. You are also welcome to submit suggestions on this topic.
